Monthly Maintenance

Ongoing website upkeep for clients who want updates, fixes, and backend help without handling everything themselves.

$99/month Optional 30-day written cancellation notice
Maintenance is optional. You can manage your website yourself if you prefer, but ongoing support is only included when maintenance is active.
Maintenance covers upkeep, not rebuilds. Small updates, backend help, fixes, and routine support are included. New builds and major changes are quoted separately.
If you cancel, responsibility shifts to you. Once maintenance is inactive, PhantomSites is no longer responsible for ongoing site care, renewals, or updates.

01. What Maintenance Is

Monthly maintenance is an optional ongoing support service for websites built by PhantomSites or websites PhantomSites has agreed to manage.

It is designed to cover routine upkeep, reasonable content updates, basic backend management, troubleshooting, and general site support.

Maintenance is meant to keep the site current, stable, and easier to manage. It is not a substitute for a new project, full redesign, or major development request.

02. What’s Included

Monthly maintenance at $99/month generally includes:

  • hosting renewal handling, if PhantomSites is managing that service,
  • domain renewal handling, if PhantomSites is managing that service,
  • security patches, plugin updates, and Shopify updates where applicable,
  • weekly or routine backup support,
  • bug fixes and broken link checks,
  • up to 1 hour of content changes per month, including text edits, image swaps, and product info updates,
  • uptime monitoring,
  • performance tune-ups and general upkeep,
  • SSL certificate renewal handling where applicable, and
  • priority email support with a target response time of within 24 business hours.

Included maintenance time is intended for reasonable ongoing support, not unlimited requests.

03. What’s Not Included

The following are not included in maintenance unless separately quoted in writing:

  • new page builds,
  • full redesigns,
  • major layout overhauls,
  • new custom feature development,
  • booking systems, custom apps, advanced automation, or major integrations,
  • platform migrations,
  • brand strategy, logo design, or graphic design packages,
  • copywriting, content creation, or content strategy,
  • SEO strategy, search rankings, traffic growth, or ad management,
  • paid third-party costs such as domains, hosting, apps, themes, stock photos, paid fonts, plugins, or subscriptions, and
  • repair work caused by client edits or third-party edits unless expressly covered in writing.

If any of the above is requested, PhantomSites will quote it separately before beginning work.

04. Monthly Time Limit

The maintenance plan includes up to 1 hour of routine maintenance time per month unless otherwise stated in writing.

Unused time does not roll over into the next month. Time resets at the beginning of each billing cycle.

If a request goes beyond the included monthly time or falls outside normal maintenance coverage, PhantomSites will notify the client before performing additional billable work.

05. Response Time

Maintenance clients receive priority support with a target response time of within 24 business hours.

A response time means PhantomSites has acknowledged the request and replied. It does not guarantee same-day completion.

Completion time depends on request complexity, required access, client communication, and whether the issue falls inside or outside maintenance coverage.

06. Billing

Maintenance is billed monthly on a recurring basis beginning on the client’s start date unless otherwise agreed in writing.

Failed or missed payments receive a 7-day grace period. If payment is still not resolved after that grace period, maintenance services may be paused.

If the balance remains unpaid for 30 days, maintenance may be fully suspended until the account is brought current.

PhantomSites is not required to continue maintenance work while maintenance payments are overdue.

07. Cancellation

Maintenance may be canceled at any time with 30 days written notice. Email notice counts as written notice.

There are no cancellation fees.

If applicable, the final month may be prorated at PhantomSites’ discretion, but PhantomSites is not required to prorate partial months unless previously agreed in writing.

08. If You Cancel or Opt Out

If the client chooses not to enroll in maintenance, or later cancels maintenance, PhantomSites is no longer responsible for ongoing website upkeep.

That includes, but is not limited to:

  • hosting renewals,
  • domain renewals,
  • security updates and patches,
  • plugin or platform updates,
  • bug fixes,
  • content changes,
  • integration upkeep,
  • backend monitoring, and
  • general ongoing site management.

Once maintenance is inactive, responsibility for the site shifts fully to the client or to any provider hired afterward.

09. Client-Caused Breakage

If the client, the client’s staff, or any third party edits, changes, deletes, misconfigures, or breaks the website, backend, theme, integrations, settings, or content after delivery, repair work is billable.

If the client breaks it, the client pays for the time required to diagnose and repair it.

Client-caused breakage is not automatically included in the original build and is not guaranteed to be included under maintenance unless PhantomSites chooses to handle it within the available monthly time.

10. Third-Party Costs and Services

Maintenance does not include third-party fees. The client remains responsible for paying for any domains, hosting, Shopify plans, apps, plugins, paid fonts, premium themes, email tools, or other subscriptions unless otherwise agreed in writing.

PhantomSites is not responsible for outages, failures, bugs, suspensions, price changes, policy changes, or discontinued features caused by third-party providers.

11. After-Hours and Emergency Rates

If the client requests work outside the maintenance plan, or if maintenance is inactive, work may be billed at the following rates:

  • $60/hr — standard rate (Monday–Friday, 10am–7pm EST)
  • $120/hr — after-hours rate (evenings, weekends, holidays)
  • $180/hr — overnight rate (10pm–7am EST)

Rates are billed in 30-minute minimums and rounded up.

A true emergency is generally limited to:

  • the entire site being down,
  • checkout or payment processing being completely broken, or
  • a confirmed security issue or hack.

Non-emergency requests may be scheduled during normal business hours instead.

12. No SEO, No Marketing, No Business Guarantees

PhantomSites maintenance covers website upkeep and backend support only.

Maintenance does not include SEO strategy, search ranking improvement, advertising, ad management, social media management, lead generation, copywriting, or any guarantee of traffic, leads, or sales.

PhantomSites is not responsible for business performance or marketing results.

13. Limitation of Responsibility

PhantomSites is responsible only for the website work and maintenance services specifically agreed to in writing.

PhantomSites is not responsible for:

  • the client’s business performance,
  • missed leads or sales,
  • client content errors,
  • client legal compliance,
  • third-party outages,
  • expired services,
  • or issues caused by changes made by anyone other than PhantomSites.
